Oral Presentation Information

The presentations should be uploaded to the conference staff by 4:00 pm the day before your presentation. All speakers should utilize the computer provided by the conference to make their presentations; please let us know if there are extenuating circumstances. The computer used for the presentations will be equipped with the latest Windows operating system. PowerPoint (.pptx or .ppt) is the preferred presentation format. Speakers should use the link below for all uploads. As a backup, please bring your presentation on a USB drive that can be uploaded at the registration desk.

The projection screen size is 6 feet high  x 10 feet wide. For slide preparation, the 16:9 format would be ideal to display correctly.

Please save ~3 minutes at the end of your presentation to take questions from the audience.

Poster Information

Posters should be a maximum of 40″ x 40” (1016mm x 1016mm) and will be affixed to board with pins. Participants who submit abstracts for poster presentation are expected to present their work at the scheduled poster session. The poster can be printed in Quebec City ahead of your arrival – details with sizes and pricing is below.

Files must be in PDF format to the final print dimensions, please. The print shop will not be able to adjust files or call to request an updated PDF, so please make sure to check your poster dimensions before sending it for printing. If you need help verifying your poster is the correct size for printing, please contact Jason Stanley.

If you are having your poster printed on-site, you must have it send to the print shop no later than the evening of Friday, June 14th, 2019. Late submissions are not guaranteed to be ready in time for the poster session.

We will collect payment for your poster via the HHV-6 Foundation’s PayPal donation portal. You do not need to have a PayPal account to use the donation portal, credit cards are accepted.

Abstract Submission

Abstract submission details:

  • Abstract length should be no more than 400 words excluding title and author names.
  • Please underline the name of the person(s) presenting
  • Include the name of all authors
  • Please do not include degrees
  • Title of the paper should not be in all caps, and written as a sentence (not title case).
  • Except for reviews, please organize abstract as follows: Objective, Methods, Results, Conclusions
  • Abstracts may be edited at any time until June 7th by submitting a replacement abstract.

Overview or Summary abstracts do not require special formatting.

Abstracts will be published in the conference program and will be available on the HHV-6 Foundation web site. Authors of accepted abstracts may be given the option to have their submissions included in the conference proceedings.

Trainee Grants

The HHV-6 Foundation and Organizing Committee would like to promote the careers of students and young investigators. The conference will include a competition for the best scientific work by students and postdoctoral fellows.

Abstracts submitted by these young scientists will be judged by a Program Sub-Committee. Ten top trainees will receive $1000 travel grants based on their abstracts (oral or poster). These young investigators will receive their travel grant award notifications by April 15th.
